Important Dates & Deadlines

Discount Deadline: Friday, August 29, 2025; Advanced Order deadline for Exhibitor orders and full payments.
Graphic Print Files Deadline: Friday, September 5, 2025; Refer to Printing: Signs, Booth Panels & Banners section for requirements.
Last Order Date: Monday, September 15, 2025; Last day to place orders online. Email exhibitor@coltexpositions for orders after this date.
Advance Freight Start Receiving: Monday, August 18, 2025; Start receiving shipments at Advance Warehouse location.
Advance Freight Receiving Deadline: Monday, September 8, 2025; Advance Warehouse shipment deadline Warehouse shipments will be accepted after the deadline; however, surcharges will be assessed for late delivery.
Direct Shipment Receiving begins:: No direct receiving at Clipper Yacht Harbor.
Last Day for Direct Shipments:: No direct receiving at Clipper Yacht Harbor.
Deadline for Outbound Carriers to Check-In: No carrier pickup during move-out. Items will be taken back to the Colt Expo warehouse and can be picked up there starting Monday, 9/25.

Each 10' x 10' booth will be provided with the following:

(1) 8' tall back wall drape (navy blue)
(2) 3' tall siderail drapes (navy blue)
1 - ID Sign

Material Handling/Freight Information

Freight Related Services

PLEASE NOTE: ONLY ONE LOAD UNDER 40 LBS. CAN BE CARRIED TO YOUR BOOTH. NO WHEELS OR CARTS CAN BE USED. Colt Expositions offers assisted move-in (Cart Service) from your vehicle to the loading dock to your booth for an additional fee.

As the "Official Service Contractor" we are responsible for all freight-related services. We will provide advanced dock to dock material handling, including, receiving shipments at our warehouse, storage (up to 30 days prior to install date), and transportation of advance warehouse freight shipments to show site, delivery to exhibitor's booth, pick-up and outbound freight handling. (Exhibitors are responsible for inbound and outbound shipping charges). All orders are governed by Colt Expositions, Inc. Payment Policy and the Limits of Liability and Responsibility.

All shipping logistics are the responsibility of the exhibitor. Please contact your preferred carrier to schedule delivery to either the advance warehouse or venue show site and also the return pick-up of your freight from the venue show site accordingly.
