Important Dates & Deadlines

Discount Deadline: Wednesday, August 13, 2025; Advanced Order deadline for Exhibitor orders and full payments.
Graphic Print Files Deadline: Sunday, August 31, 2025; Refer to Printing: Signs, Booth Panels & Banners section for requirements.
Last Order Date: Wednesday, September 10, 2025; Last day to place orders online. Email exhibitor@coltexpositions for orders after this date. *Please Note: This deadline is for furniture orders only and not applicable to booths.
Advance Freight Start Receiving: Friday, August 8, 2025; Start receiving shipments at Advance Warehouse location.
Advance Freight Receiving Deadline: Thursday, September 11, 2025; Advance Warehouse shipment deadline Warehouse shipments will be accepted after the deadline; however, surcharges will be assessed for late delivery.
Direct Shipment Receiving begins:: No direct receiving at Pier 48
Last Day for Direct Shipments:: No direct receiving at Pier 48
Deadline for Outbound Carriers to Check-In: No carrier pickup during move-out. Items will be taken back to the Colt Expo warehouse and can be picked up there starting Monday, September 22; Any abandoned booth properties that result in additional waste are subject to a fee.

Freight Related Services

PLEASE NOTE: ONLY ONE LOAD UNDER 40 LBS. CAN BE CARRIED TO YOUR BOOTH. NO WHEELS OR CARTS CAN BE USED. Colt Expositions offers assisted move-in (Cart Service) from your vehicle to the loading dock to your booth for an additional fee.

Material Handling Options & Fees

Advance Warehouse Shipping
Over 50 lbs: $190 per 100 lbs (200 lb minimum = $380 minimum)
50 lbs or less: $50 per package

Cart Service (day of show): $85 per cart per trip. Includes Laborer to help.
Self-Service (under 40 lbs): Free (no carts or loading dock access)

As the "Official Service Contractor" we are responsible for all freight-related services. We will provide advanced dock to dock material handling, including, receiving shipments at our warehouse, storage (up to 30 days prior to install date), and transportation of advance warehouse freight shipments to show site, delivery to exhibitor's booth, pick-up and outbound freight handling. (Exhibitors are responsible for inbound and outbound shipping charges). All orders are governed by Colt Expositions, Inc. Payment Policy and the Limits of Liability and Responsibility.

All shipping logistics are the responsibility of the exhibitor. Please contact your preferred carrier to schedule delivery to either the advance warehouse or venue show site and also the return pick-up of your freight from the venue show site accordingly.
